A large, well known charity in the health sector seeks an enthusiastic and driven Events Co-ordinator for a one-year contract to promote and co-ordinate at least 25-30 events per annum across a number of medical sections, providing proactive support and a level of ownership in the planning and running of these events whilst maintaining a balanced budget. You will take responsibility for managing all aspects of the event, from managing the planning meetings with the Section Councils, working with Councils to decide on content, booking an appropriate room, organising all the event logistics, including catering, audio-visual requirements, delegate packs, registration documents. The Co-ordinator will also produce plans for marketing and communications and monitor these arrangements, including numbers of delegate bookings. The Co-ordinator retains responsibility for planning a meeting budget at the outset of the meeting and for reconciling the meeting income and expenditure as well as closing the event after the meeting, which includes ensuring thank you letters are sent to speakers, expenses claimed are dealt with swiftly and evaluations are undertaken swiftly, the outcomes of which reported to the Meeting Organiser.

Other duties include:

* Contact the speakers prior to the meeting to ensure all arrangements are in place.
* Ensuring that all venue, AV and catering arrangements are in place.
* Ensure that information for the Web is accurate and updated as soon as it is available.
* Provision of a budget for every meeting
* Undertake publicity and marketing for meeting, including research for meetings as necessary, including liaison with the Marketing department as necessary.
* To ensure that marketing and publicity is informed by feedback from delegates and Meeting Organisers and in particular, from delegate's evaluations.
* Ensure that all Awards/Prizes etc are publicised and dealt with according to the Section regulations.
* Being present on the registration desk on the day of the meeting and available to the Meeting Organiser for the duration of the meeting (day).
